Meetric automatically sends AI-generated meeting summaries to HubSpot, ensuring your CRM stays up to date without manual data entry.
Each summary appears as a Note, linked directly to the relevant records (Contacts, Companies, Deals, or Tickets).
Important: This is a User-Based Integration
To ensure a successful sync, please note the following requirements:
Individual Connection: Each Meetric user who wants their meetings synced must connect their own HubSpot account within Meetric.
Presenter-Driven: Meetric uses the meeting presenter’s HubSpot connection to create and link the note.
Sync Logic: If a teammate is connected but the presenter is not, the summary will not sync.
NOTE: We only support user-based OAuth integration för HubSpot; please ignore account-level integration options.
What the Integration Provides
Once a session is finished, Meetric creates one HubSpot Note containing:
Meeting Details: Name and a list of all participants (presenter + attendees).
Access Links: Direct links to the recording and transcript (opens in Meetric).
Content: Any manual notes added during the meeting and the formatted AI summary.
Automatic Linking Logic
Meetric attempts to link the note to the following HubSpot records when a match is found:
Contacts: Matched via email or phone.
Deals: Linked for users in Sales teams (associates with the newest deal).
Tickets: Linked for users in Support teams (associates with the newest ticket).
Getting Started
Prerequisites
A HubSpot user authorized to connect apps and access CRM records.
Access to Meetric with permissions to manage integrations.
Best Practice: Ensure HubSpot contacts have updated email addresses for optimal matching.
Step-by-Step Setup
A token must be created for each user. To do this, temporarily set the user as a super user in HubSpot, then remove this status if they should not remain a super user. The API key generated is then pasted into Meetric under Integrations.

In Meetric, navigate to: Settings → Integrations → HubSpot.
Click Connect.
In the HubSpot window that opens:
Log in (if prompted).
Choose the correct HubSpot portal.
Approve the requested permissions.
Return to Meetric and verify that the status shows as Connected.
If you have multiple HubSpot portals, connect the on where your Contacts/Deals/Tickets exist.
How it Works
The Step-by-Step Process
Hold your meeting: Conduct your meeting or call as usual.
AI Processing: Meetric processes the session and generates the AI summary.
Note Creation: Meetric creates a HubSpot Note containing the summary in HTML format.
Automatic Linking: Meetric links that note to the correct HubSpot records, including Contacts and, when possible, Company, Deal, or Ticket.
When does it sync? Syncing occurs immediately after the summary is generated, typically a few minutes after the meeting ends.
Where to Find the Summary in HubSpot
On a Contact
Open the Contact in HubSpot.
Navigate to the Activity / Timeline (or Notes) tab.
Find the Meetric Note and expand it to see the full summary.
On a Deal (Sales Teams)
If the presenter belongs to a Sales team, Meetric attempts to link the note to a Deal:
Open the Deal.
Check the Activity / Timeline for the Meetric Note.
On a Ticket (Support Teams)
If the presenter belongs to a Support team, Meetric attempts to link the note to a Ticket:
Open the Ticket.
Check the Activity / Timeline for the Meetric Note.
Note: If Meetric cannot find a matching Deal or Ticket, the note will still appear on the Contact record as expected.
Data Mapping (How Matching Works)
Contact Matching
Primary (Email): Meetric looks for an exact email match or checks HubSpot “Additional emails” (aliases).
Fallback (Phone): If no email match is found, normalized phone numbers are compared to HubSpot "Phone" or "Mobile phone" fields.
Best Practice: Email matching is the most reliable; ensure your HubSpot contacts have correct email addresses.
Record Association
Meetric attempts to associate the note to:
All matched Contacts.
The newest Deal associated with the Contact (for Sales teams).
The newest Ticket associated with the Contact (for Support teams).
Auto-Create Missing Contacts (Optional)
If Enabled: Meetric creates a new HubSpot Contact (email, first name, last name, phone) for participants not found in your CRM before attaching the note.
If Disabled: Meetric only attaches notes to existing HubSpot Contacts.
Troubleshooting
No note appears in HubSpot
Check Connection: Ensure the meeting presenter has personally connected HubSpot in Meetric.
Check Matching: Verify the participant exists in HubSpot with the correct email or phone.
Wait: Processing may take a few minutes; refresh HubSpot after a short delay.
Note is on Contact, but not on Deal or Ticket
Deals: Confirm the Contact has associated Deals and your Meetric team type is set to Sales.
Tickets: Confirm the Ticket is associated with the Contact in HubSpot and your team type is set to Support.
Integration stopped working
Fix: Authorization may have expired. Disconnect and then reconnect HubSpot within Meetric settings.
What to send to Support for fast resolution
The Meetric Session link or ID.
The User's email address.
Expected matching participant emails/phones.
Links to the target HubSpot Contact, Deal, or Ticket.
Disconnecting
How to disconnect in Meetric
Navigate to Settings → Integrations → HubSpot → Disconnect.
Important Note
Any existing notes already created in HubSpot will remain as historical records after the disconnection.

Can I choose which meetings sync?
Summaries sync automatically for eligible external sessions. To stop syncing, you must disconnect the integration.
How many notes are created?
Typically one note per session, which is then linked to all matched records.
Where is the recording stored?
Recordings remain securely in Meetric. HubSpot receives the summary and a link back to the recording.
Security & Privacy
Secure Authentication: Meetric uses OAuth 2.0, which means Meetric never sees or stores your HubSpot password.
Encrypted Data: All requests between Meetric and HubSpot are fully encrypted over HTTPS.
Safe Storage: Access tokens are stored securely to protect your connection.
Minimal Access: Meetric only accesses the specific CRM data necessary to create, match, and associate notes to your records.
