Meeting Join Rules and Ownership Calculation
Events That Will Not Be Joined The Notetaker will not join any meeting if the event meets any of the following criteria:
The user does not have an account (rare, but possible). The only user from the account is passive. In this case, if there are other non-passive users, the meeting ownership will be transferred to one of them. The event is canceled by the organizer. The event has no assigned organizer. The event lacks a start or end time. The event lacks a video call URL. The event is recurring.
2. Meeting Ownership Calculation To determine the owner of the meeting, the following steps are taken:
If the organizer is on the whitelist or part of a low-priority team: Search for a higher-priority user who is invited (user must not be passive, low priority, or in the whitelist, and should have auto_join set to 1). If one such user is found, transfer the meeting to that user. If multiple users are found, assign the meeting to the user who received the first invitation. If no higher-priority user is found, the original owner remains as the meeting owner.
3. Meeting Join Logic Based on Ownership Once the owner is determined (from step 2), the bot will calculate whether to join based on the following Auto Join settings:
[Default] Auto Join 1 – Join external meetings when the user is the organizer: The Notetaker will only join meetings with external participants. A video call link (Zoom, Teams, Meet) must be present. The organizer is a Meetric user. The user is the organizer or: A user from the same account with a low-priority team is the organizer. A user from the same account with passive status is the organizer.
Auto Join 2 – Join all meetings with external participants: The organizer is not a Meetric user. The Notetaker will only join meetings with external participants. A video call link (Zoom, Teams, Meet) must be present.
Auto Join 3 – Join all meetings: A video call link (Zoom, Teams, Meet) must be present.
